POSITION SUMMARY
Under the oversight and direction of the GME Director, the Residency Coordinator will assist in the administrative operations relating to 1) Internal Medicine Residency Program and other Graduate Medical Education (GME) programs and 2) the rotations at Martin Luther King, Jr. Community Hospital (MLKCH). The Residency Coordinator will work with the Program Director to maintain residency management software, optimize rotations and physician schedules, ensure completion of rotation evaluations, prepare and deliver resident orientation and onboarding materials, document various correspondences, and perform other duties as assigned. The Residency Coordinator will work with the Director of GME and Internal Medicine Program in scheduling meetings, coordinating the preparation, review and submission of documents, and other related work. The Residency Coordinator will assist the Program Director to adhere to the timeline and schedule of the Internal Medicine Program as dictated by Accreditation Council for Graduate Medical Education (ACGME) and MLKCH GME Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Provides support and meets regularly with the Program Director for resident rotations.
2. Supports the Program Director to manage concerns regarding resident activities.
3. Coordinates the daily operations and logistics of the residency program(s).
4. Ensure that reports and correspondence are prepared and delivered in a timely manner.
5. Provides other administrative assistance to the Program Director as needed.
6. Manages and coordinates new interns/residents’ orientation: hospital onboarding, badge, access, parking, and general hospital site tour.
7. Performs duties and projects specific to the functions and needs of the department.
8. Understands ACGME Institutional, Specialty, and Program Requirements and Policies.
9. Runs reports of resident duty hour logs and provides them to Program leadership for review.
10. Schedules meetings, prepares agendas, takes minutes, prepares reports and prepares correspondence.
11. Sets up the lecture room for daily didactic sessions (computer log in and sign on to Zoom) and records resident attendance.
12. Assists Core Faculty in maintaining monthly didactic lecture calendar.
13. Uploads lecture PDFs and PowerPoints to Microsoft Teams for residents to access.
14. Assists in processing documents required to pay lecturers’ honorariums (MOU and W-9).
15. Leads communication with external resident rotators regarding the onboarding process and schedules.
16. Manages and coordinates new rotating residents’ orientation to the hospital site tour.
17. Establishes strong working relationships with Program Directors and coordinators for outside rotating programs.
18. Oversees the medical student evaluation process and ensures completion of evaluations by students and faculty.
19. Manages onboarding for medical students and actively communicates with the medical school regarding onboarding information.
20. Assists the Program Director in developing and maintaining residency program schedules and evaluations and tracking resident attendance.
21. Maintains supporting documents for Milestone meetings.
22. Manages the Paid Time Off (PTO) requests from residents.
23. Assists the Program Director in monitoring residents’ work hours and operative/case experiences via regular review of data reports.
24. Develops, implements, and maintains departmental recordkeeping and filling systems.
25. Attends and documents meeting minutes from faculty meetings, including Clinical Competency Committee and Program Evaluation Committee meetings.
26. Verifies resident status and activities; Maintains biographical information on all residents and updates information on graduates in a database.
27. Prepares for and proctors the annual In-Training Exam (ITE) for Residents.
28. Coordinates on-site visits from applicants during annual Residency Recruitment season (Fall, Winter).
29. Performs various general secretarial duties and administrative responsibilities.
30. Supports other special projects as needed.
31. Other duties as assigned.

POSITION REQUIREMENTS
A. Education
- Bachelor’s Degree in Business Administration, Education, or related field.
B. Qualifications/Experience
- Minimum of two (years) of Graduate Medical Education experience or residency/fellowship experience in any specialty, Internal employee without experience will be considered
C. Special Skills/Knowledge
- Excellent written and verbal communication skills.
- Excellent interpersonal and organizational skills.
- Ability to manage sensitive information with absolute confidentiality.
- Working knowledge of Microsoft Office and residency management software, including New Innovations.
- Ability to make decisions independently and escalate issues as needed to appropriate individual(s).
- Ability to prioritize and make required changes as needed.
