Position Summary:
We have an exciting opportunity to join our team as a Secretary II.

In this role, the successful candidate Under general supervision, performs secretarial studies that are complex in nature and require considerable judgment

Job Responsibilities:
  • General Computer and office functions. Files and/or copies materials as needed. Properly formats drafts and final copies of the OR schedule according to instructions in accepted style. Enters, stores and retrieves worksheet and other information correctlyaccording to the machines operational instructions. Prints reports from OR Scheduling/Registration System.
  • Demonstrates the use of high level interpersonal skills when interfacing with Administration, Physicians, Managers and other associates as observed by Nursing Leadership and feedback from associates.
  • "Answers telephone calls in a timely, pleasant and professional manner asmeasured by feedback from staff and direct supervisory observation. Answers telephones and relays messages to appropriate individuals as evidenced by direct observation. Directs or transfers calls to appropriate persons as required as observed by Leadership. Demonstrates polite and courteous manner in dealing with all associates."
  • "Retrieves requested case via fax, phone or web form. Accurately schedules OR procedures via the OR scheduling system of the time. Refers scheduling conflicts (block, time, tool) to operational Nurse Manager or designee for approval prior to overriding the conflict. Accurately schedules Pretesting appointment for patients as needed. Accurately registers (pre-admit) patient for a procedural account utilizing the appropriate account selection for patient type."
  • Issues medical records number after completing a thorough search in EPIC data base with 100% accuracy to avoid duplicate medical records. Accurately registers patient for a pretesting account (pre-admit) utilizing the appropriate patient type. Closes the OR schedule daily, moves cases to fill gaps in schedule. Communicates with the Nurse Manager to identify possible changes/conflicts.Follows through on plans.
  • "Presents schedule to Nurse Manager and Anesthesia Site Director (or designee) for approval by 11am. Final OR schedule printed for distribution at 4pm daily. Communicates all changes with Anesthesia, Nurse Manager, surgeons, OR, Surgery Center as indicated. Maintains file system of reservations in neat, orderly fashion."
  • Participates in the orientation of new employees. Responsible to perform routine system function by accepting andVerifying each case daily. Responsible to run Ad-hoc reports as requested.
  • Processes patient bills based on schedule of procedure charges accurately in accordance with departmental procedures. Records information on departmental or area records promptly in orderto maintain them in an up-to-date manner. Bring to the attention of nursing leadership any discrepancies in thebilling process.

Minimum Qualifications:
To qualify you must have a High School graduate or the equivalent required, advanced business training is preferred. Three years of responsible secretarial experience. Typing (60 wpm) and steno (80 wpm) or dictaphone required. Knowledge of medical terminology and/or word processing as needed. Good communication skills
